ETIAS manual processing explained

What it means when an ETIAS application is not approved automatically, how long it can take, and what to expect.

What to know

Manual processing means a person reviews your application. Most ETIAS decisions are expected within minutes, but some are referred for a closer look. ETIAS is not live yet, so this is guidance for when it opens.

What is manual processing?

When the automated checks cannot approve an application straight away, it is expected to be passed to a human reviewer rather than refused outright. A referral is not a refusal. It means the case needs more than the automatic check, and a decision follows once the review is done.

Why an application is referred

Common reasons include a match or possible match during the EU’s background checks, an answer to a security or immigration question that needs context, or details that do not line up with the records held. Most travellers will never see this, and a referral does not mean something is wrong with you.

How long does it take?

The EU has indicated that manual cases can take longer than the usual few minutes, potentially a number of days, and in more complex cases longer. This is the main reason to apply a few days ahead of travel rather than at the airport, once ETIAS is live.

What you may be asked for

A reviewer may request additional information or documents to complete the assessment. Respond promptly and accurately. If you are unsure how to answer something, take time to get it right rather than guessing, as inaccurate information can itself lead to a refusal.

Manual processing, pending and refused

A pending status usually reflects an application in manual processing. If the review cannot approve it, the outcome is a refusal, with a notice that explains the reason and how to appeal. See those pages for what happens next.

Manual processing FAQs

Will a criminal record stop me getting ETIAS?

ETIAS is expected to include security questions and automated background checks, but a past conviction does not automatically mean refusal. The most important thing is to answer all questions accurately. Providing false information can cause refusal on its own.

Can I apply for ETIAS now?

No. The official ETIAS system is not open yet, so it is not possible for anyone to apply. Any website claiming to issue ETIAS today is not legitimate.

How long will ETIAS last?

An approved ETIAS is expected to be valid for up to 3 years, or until the passport it is linked to expires, whichever comes first. It allows short stays of up to 90 days in any 180-day period within ETIAS countries.

Is ETIAS a visa?

Technically no. ETIAS is a travel authorisation, not a visa. Many travellers search for “ETIAS visa” or “Europe visa waiver”. The closest comparison is the US ESTA system. You still need a valid passport, and ETIAS does not guarantee entry: border officers always make the final decision.
